Iola Gardens: Policies and Procedures (Property & Space Use)
Welcome to Iola Gardens. To ensure our "No-Walls" residency and garden ecosystem remains a sanctuary for deep focus, restorative wellness, and community connection, all members must adhere to the following property policies. Iola Gardens reserves the right to modify, amend, or update these policies and procedures at any time without prior notice.
1. Hours of Operation & Tiered Access
Please note: Hours of operation and facility access are subject to change at any time due to conflicting member events, private property rentals, or necessary property maintenance.
The Seedling Tier: Open to the public during specifically designated community days, public markets, and ticketed seasonal happenings.
The Cultivator Tier: Access to the grounds, barn, and cafe is available Sunday through Tuesday.
The Perennial Tier: Extended access is available Sunday through Thursday. Wednesday and Thursday are strictly reserved for Perennial members to ensure a quiet, mid-week focus environment.
Friday & Saturday: The property is generally closed to standard member access to accommodate private event rentals, weddings, and retreats.
2. Facility & Space Etiquette
The Barn (Co-working): The Barn operates as a shared creative workspace. Please be mindful of noise levels, take phone calls in designated areas, and tidy your workspace upon departure.
Self-Service Cafe: We offer self-service Pollard Drip Coffee. Cultivators receive their first cup free; Perennials receive their first two cups free. Members are responsible for cleaning their mugs or placing them in the designated wash bins.
The Traditional Finnish Hot Stone Sauna: All sauna use must be pre-booked via the digital member reservation calendar. Members must adhere to the strictly enforced Sauna Membership Terms and Conditions.
3. Guest Policy
Members are fully responsible for the conduct of their guests at all times.
Perennial Members: May bring guests using their preferred guest privilege ($10 standard day entry). If a guest decides to join as an active member, their guest fee is applied directly to their account.
All guests must complete a check-in and sign the liability waiver before accessing the property or wellness amenities.
4. Health, Safety & Environment
Natural Terrain: Iola Gardens is a living landscape. Be prepared for uneven ground, wildlife, and changing weather conditions. Proper footwear is recommended.
Zero Tolerance Policy: We maintain a strict zero-tolerance policy for discrimination, harassment, lewd conduct, or any behavior that compromises the physical or psychological safety of our community. Violations will result in immediate and permanent termination of membership.
Photography & Privacy: While we encourage capturing the beauty of the gardens, photography is strictly prohibited in the sauna, locker rooms, and any areas where members expect privacy.
Iola Gardens: Membership Terms of Service
By purchasing a membership (Cultivator or Perennial) or joining the free Seedling tier at Iola Gardens, you agree to the following Terms of Service. Please read them carefully. Iola Gardens reserves the right to modify, amend, or update these Terms of Service at any time without prior notice. Continued use of your membership following any changes constitutes your acceptance of the new terms.
1. Membership & Billing
Subscription Auto-Renewal: Cultivator and Perennial memberships are billed on a monthly recurring basis via our secure payment processors.
Cancellations: You may cancel your membership at any time through the member portal. Cancellations must be completed at least 48 hours before your next billing cycle to avoid being charged for the following month.
Right of Refusal: Iola Gardens reserves the right to revoke, suspend, or deny membership at its sole discretion, especially in cases of policy violation.
2. Assumption of Risk & Liability Waiver
General Property Use: Iola Gardens is an outdoor, natural environment. You acknowledge and accept all risks associated with visiting a rural property, including but not limited to uneven terrain, natural hazards, weather, and wildlife.
Wellness Facilities: Use of the wood-fired sauna and hot tub carries inherent health risks. You agree to consult with a physician prior to use if you have any underlying health conditions. Iola Gardens is not liable for any injuries, health complications, or hyperthermia resulting from facility use.
Indemnification: By accessing the property, you agree to indemnify and hold harmless Iola Gardens, its owners, and staff from any claims, damages, or injuries sustained on the premises.
3. Code of Conduct & Compliance
Members must comply with all posted rules, including the Property Policies and Procedures and the Sauna Membership Terms.
Any violation of Washington State laws, including but not limited to public accommodation standards and regulations regarding lewd conduct (RCW 9A.88.010), will result in immediate law enforcement involvement and permanent expulsion from the property.
Iola Gardens: Privacy Policy
Iola Gardens ("we," "our," or "us") is committed to protecting your privacy. This policy outlines how we collect, use, and protect your personal information when you interact with our website, join our membership tiers, or visit our property.
1. Information We Collect
Personal Identification: Name, email address, phone number, and mailing address collected during membership registration or event ticketing.
Payment Information: Credit card details and billing information. Payments are processed securely through third-party processors (e.g., Stripe, Squarespace, Klarna/Afterpay). We do not store full credit card numbers on our servers.
Account & Usage Data: Reservation history (including sauna bookings), membership tier status, and website interaction data.
2. How We Use Your Information
To manage your membership account and facilitate frictionless entry to our facilities.
To process payments and manage recurring subscription billing.
To send important operational updates, booking confirmations, and marketing communications (e.g., newsletters via KIT, text message alerts for early-bird tickets).
3. Data Sharing & Third Parties
We do not sell your personal data. We may share necessary information with trusted third-party service providers who assist us in operating our business, such as:
Website and booking platforms (e.g., Squarespace).
Payment gateways (e.g., Stripe, Klarna/Afterpay, QuickBooks).
Marketing and communication tools (e.g., KIT, SMS marketing providers).
4. Your Rights & Choices
You have the right to opt-out of marketing communications at any time by clicking "unsubscribe" in our emails or replying "STOP" to our text messages. You may also request to view, update, or delete your personal data by contacting us directly.
5. Policy Modifications
Iola Gardens reserves the right to modify or update this Privacy Policy at any time without prior notice. Any changes will be updated on this page and are effective immediately upon posting.
Iola Gardens: Return and Refund Policy
Thank you for being a part of Iola Gardens. Because our business model encompasses digital subscriptions, facility reservations, event ticketing, and retail goods, our return and refund policies are broken down by category below.
Iola Gardens reserves the right to modify, amend, or update this Return and Refund Policy at any time without prior notice. Any changes are effective immediately upon posting.
1. Membership Subscriptions
Monthly Tiers (Cultivator & Perennial): All membership subscription charges are non-refundable once processed.
Cancellation Window: To avoid being billed for the subsequent month, you must cancel your membership via the member portal at least 48 hours prior to your automatic renewal date.
Partial Months: We do not offer prorated refunds or credits for partial months or unused membership access if you choose to cancel mid-billing cycle.
2. Sauna & Facility Bookings
24-Hour Policy: Sauna sessions and specific facility reservations must be canceled or rescheduled at least 24 hours prior to your scheduled time block.
Late Cancellations & No-Shows: Cancellations made less than 24 hours before the session, as well as no-shows, are strictly non-refundable and will result in the forfeiture of that session credit or booking fee.
3. Events, Workshops, and Private Rentals
Ticketed Public Events & Workshops: All ticket sales for seasonal happenings, public markets, guest speaker series, and workshops are final and non-refundable. If you are unable to attend, you may transfer your ticket to another individual by notifying us via email at least 24 hours before the event with their contact details.
Private Events, Weddings, and Retreats: Cancellations, postponements, and deposit refunds for private property bookings (such as Friday and Saturday rentals) are not covered under this general retail policy. All such bookings are subject to the specific, separate binding contract executed for that individual event. Please refer directly to your signed event contract for details regarding your specific cancellation schedules, non-refundable deposits, and cancellation penalties. The terms of your individual event contract strictly supersede this webpage.
4. Retail Goods & Physical Products
Merchandise and Packaged Coffee: Unused, unworn, and unopened physical items (such as branded merchandise or sealed bags of Pollard retail coffee beans) may be returned within 14 days of purchase for a full refund or exchange. Items must be in their original packaging and accompanied by proof of purchase.
Perishable Items: Freshly brewed coffee, beverages, or open food products from the self-service cafe are completely non-refundable.
Damaged Items: If a physical product you purchased is defective or damaged upon receipt, please notify us within 48 hours for a complimentary replacement or refund.
How Refunds Are Processed
Approved refunds for retail products or eligible cancellations will be credited back to the original method of payment (Stripe, Squarespace payments, or Klarna/Afterpay). Please allow 5 to 10 business days for the transaction to reflect on your bank or credit card statement depending on your financial institution.
